In short

What does CRM setup and management include?

CRM setup and management means building the system that captures every lead, moves it through your sales process, and follows up automatically, then keeping that system running as your business changes. It is the difference between owning CRM software and actually getting sales out of it.

  • Pipeline designstages that match how you really sell, so nothing sits in limbo
  • Lead capturewebsite forms, chat, ads, calls and referrals landing in one place with their source
  • Email and SMS follow-upsequences that chase politely and stop the moment someone books
  • Calendars and bookingself-serve scheduling with reminders that reduce no-shows
  • Data migrationcontacts and history moved across, deduplicated and checked
  • Reportingclear numbers on where leads come from and where they stall
  • Ongoing managementcampaigns, changes and clean data handled for you
The problem

Most CRMs are expensive address books

Buying the software is the easy part. Nearly every business we meet has the same three problems.

Leads live in five different places

Some in the inbox, some in WhatsApp, some on a notepad, some in a spreadsheet. Nobody knows the real number of open opportunities.

Follow-up depends on memory

One or two messages, then everyone gets busy. Most sales are lost here, not at the pitch.

The CRM was set up once and abandoned

Half-built pipelines, automations nobody trusts, and a monthly bill for software the team avoids using.

What we set up

Your whole sales process, working on its own

GoHighLevel is our first recommendation, and we work just as happily in HubSpot, Keap, or ActiveCampaign.

Pipelines that match your sales

Stages built around how you actually sell, so you can see every open deal and what needs doing next.

Lead capture from everywhere

Website forms, chat, ads, calls, and referrals all landing in one place automatically, with the source recorded.

Email & SMS follow-up

Sequences that keep chasing politely until the lead replies or opts out, and stop the moment they book.

Calendars & booking

Self-serve booking with reminders that cut no-shows, wired straight into your pipeline.

Migration & clean-up

Moving from another CRM or a pile of spreadsheets, with duplicates cleaned and history preserved.

Ongoing management

We keep running it: new campaigns, tidy data, and changes as your process evolves.

Is this you?

Who this is for

If any of these sound familiar, the CRM is costing you more than it earns.

Leads in too many places

Some in an inbox, some in WhatsApp, some on paper. Nobody knows the real pipeline.

A CRM nobody uses

It was set up once, half-finished, and the team quietly went back to spreadsheets.

Spending on ads

Paying for leads that then wait days for a first reply.

Growing past memory

Follow-up still depends on someone remembering, and it is starting to break.

Examples

What it looks like in practice

What changes in practice.

Every lead in one pipeline

Forms, calls, chat and referrals all arrive in the same place, tagged by source, so you can finally see which marketing actually works.

Follow-up that never forgets

A new enquiry gets an instant reply, then a sequence over the following days, stopping automatically as soon as they book or reply.

Fewer no-shows

Booking links, confirmations and reminders run themselves, so your calendar reflects reality.

How it works

From scattered leads to one pipeline

Three steps, and we handle the technical part.

1

Audit your leads and data

We find every place leads currently land, check the state of your existing data, and map how you actually sell.

2

Build the pipeline and follow-up

Stages, lead capture, email and SMS sequences, calendars and reminders, built and tested with your team.

3

Migrate, train, then manage

Existing contacts moved and deduplicated, your team trained, and ongoing management if you want it.

Typical timeline: a working pipeline with follow-up is usually live within days; full migrations take longer.

Tools & platforms

Platforms we work in

GoHighLevel is our lead recommendation for most small and growing businesses. We also work in HubSpot, Keap and ActiveCampaign, and connect any of them to the rest of your stack.

Straight answers

Which CRM is right for your business?

We set up and manage all four. This is how we choose between them.

Our recommendation depends on your team, budget and how you sell. We give you a straight answer on the free call.

GoHighLevelSmall and growing businesses that want everything in one placePipelines, funnels, calendars, email and SMS in a single system, which keeps cost and complexity down. Our usual recommendation.
HubSpotTeams that need depth and plan to scale a sales functionMature reporting and a large ecosystem, though costs rise as you add seats and hubs.
KeapSmall businesses with product or service sales to automateStrong contact management and campaign automation for a small team.
ActiveCampaignBusinesses whose growth is mostly email-ledExcellent email automation and segmentation, with lighter sales pipeline features.
Pricing

How much does CRM setup cost?

We quote per project after the free call, because a clean pipeline with follow-up is a different job from a full migration off another platform. Platform fees are paid by you directly to the CRM, so you keep ownership of the account and the data. Ongoing management is optional and priced separately, with no long lock-in contracts.

FAQ

CRM Setup & Management questions, answered

Which CRM should I use?

For most small and growing businesses we recommend GoHighLevel, because pipelines, funnels, calendars, email and SMS live in one place. If you already run HubSpot, Keap, or ActiveCampaign, we work in those too. We give you a straight recommendation on the free call rather than pushing one platform.

Do I have to move to GoHighLevel?

No. We are happy to improve the CRM you already pay for. We only suggest moving when the current setup is genuinely costing you leads or money.

Can you migrate our existing data?

Yes. We move contacts, deals, and history, remove duplicates, and check the data before anything goes live, so you do not lose your record of past customers.

Do you manage it afterwards, or just set it up?

Either. Some clients take over after handover and training, others keep us on for ongoing management: new campaigns, changes, clean data, and reporting.

How quickly can it be running?

A working pipeline with lead capture and follow-up is usually live within days. Deeper work such as migrations and multi-step campaigns follows once the basics are earning their keep.
